TERMS & CONDITIONS
– At the time of reservation: A deposit of 30% is required at the time of booking. We accept payment via Paypal, wire transfer or money order for your deposit.
– 75 days prior to departure, or upon your arrival in Cusco, Lima: Balance
– Final Balance: We only accept “CASH” in our office in Cusco, Lima.
Prices are quoted in US dollars and all payments must be made in US dollars.
PASSPORTS AND VISAS
Valid passports are required for travel to Peru. Check with the appropriate consulate or embassy for the latest visa requirements.
The client must be in possession of a valid passport (valid for more than six months) and all visas required for the whole of the journey and the client accepts responsibility for obtaining the same. Any information or advice given by the company on visas, vaccinations, climate, clothing, baggage, special equipment, etc. is given in good faith but without responsibility on the part of the company. We will buy your Inca Trail trek, and Machu Picchu permits using the passport numbers that you send us with your trek booking application. You must bring these same passports, or documents with you to Cusco and take them on the Inca Trail. If the number in your passport is different from the number on the trek permit, the government authorities will not allow you to start the trek and you will not be entitled to a refund.
CANCELLATIONS AND REFUNDS
If it becomes necessary for you to cancel your trip, the following fees will apply, computed as of the date of receipt of written cancellation notice, which can be sent by email, fax, or standard mail.
All cancellations of confirmed reservations are subject to a $350 per person administrative fee. Additionally, clients are subject to any cancellation fees assessed by the purveyors of services including hotels or airlines used in the itinerary.
CLAIMS AND REFUNDS
Refunds are not made for any missed services, except for verifiable extenuating circumstances. Please see our Limits on Responsibility on this page. For verifiable claims to be considered, they must be received in writing within 15 days of the termination of the program and be accompanied by supporting documentation and/or a statement from the Operating Company verifying the claim. Any adjustment considered will be based on the actual price of the services involved and not on a per diem basis. Adjustments will not be made for unused sightseeing trips or meals. Croco Trail Travel will not accept any liability for any claims that are not received within 15 days of the termination of your travel program. All claims for days missed while traveling should be made in writing within 15 days of the termination of the program.
CANCELLATION FEE SCHEDULE
Up to 91 days prior to departure: We don’t charge one! minus the $350 per person administrative fee.
61-90 days prior to departure: 30% of trip cost
46-60 days prior to departure: 50% of trip cost
45 days or less: 100% of trip cost
Croco Trail Travel. reserves the right to cancel any trip prior to departure for any reason whatsoever, including insufficient signup or logistical problems that may impede trip operations. The refund of all land payments received shall release Croco Trail Travel. from any further liability. A trip with insufficient signup would normally be canceled a minimum of one month prior to departure.
Croco Trail Travel must normally make substantial payments to its suppliers (hotels, transportation companies, Muleteers, Porters, etc.) far in advance of the scheduled embarkation date. If a trip is canceled due to force majeure (acts of God, war, labor strikes, earthquake, flooding, etc.), Croco Trail Travel, will promptly refund the portion of the trip cost not already advanced to suppliers and use its best efforts to recover and refund the balance as promptly as possible. However, Croco Trail Travel does not guarantee recovery of any or all of the advance payments made, and our use of best efforts to recover these payments will not include the institution of any legal proceedings in foreign jurisdictions.
Croco Trail Travel is not responsible for expenses incurred by trip members in preparing for a canceled trip (e.g., nonrefundable advance purchase air tickets, visa fees, inoculations, nonrefundable Inca Trail tickets, equipment, etc.) or for any additional arrangements should the trip member have embarked prior to the scheduled group departure date.
Inca Trail, Salkantay Trek, Machu Picchu, Choquequirao Trek, Amazon Jungle. Please note that the trek or Trekking Tour deposit is non-refundable. The deposit is used to reserve space within the group. Once we have made a trek or tour reservation with the government authorities we cannot then change any details of the reservation (your name, passport number or departure date). If you have to cancel your trek booking government authorities will not let us fill your canceled spaces with other clients, we just have to depart with a smaller less-economic group. The trekking permit and Machu Picchu Permit once purchased are non-refundable & non-transferable.
In the event of any trek, tour cancellation Croco Trail Travel will be happy to cooperate providing any necessary documentation to enable a legitimate insurance claim. It should be noted Croco Trail Travel is a professional, responsible tour operator with an excellent reputation for quality and service. We have no intention of cancelingg any of our clients trek reservations or tour package.
PRICING & SURCHARGES
To offer the lowest possible price, all of our tours are priced according to the number of full-price participants on the trip. Croco Trail Travel staff, trip physicians, or guests of Croco Trail Travel (travel writers, photographers, leaders-in-training) are not included in the tier pricing count.
As we publish our prices well in advance, we may occasionally be faced with significant cost increases due to factors over which we have no control. As such we reserve the right to impose surcharges (or price decreases) up to 2 days before departure due to increases in Inca Trail trek permits (entrance fee), unfavorable exchange rates, increases in train fares or other transport costs, taxes, or if government action should require us to do so.
Prices are per person and do not include airfare unless otherwise noted. A full list of Included and Not Included Trip Costs are noted in the Detailed Itinerary. Prices listed in this brochure are subject to change because the trip dates and prices have often been published more than a year in advance. Between that time and the time of the trip’s actual departure, we are occasionally faced with exceptional cost increases or currency fluctuations that we cannot absorb. We do everything we can to keep our prices the same as published.
Please note that for trips in certain areas of the country, prices are seasonal. In such cases, the prices quoted in our catalog are for Fall 2017 and Spring 2018 only and are so noted on the catalog trip page and in the detailed itinerary.
Croco Trail Travel reserves the right to take photographs during the operation of any program or part thereof and to use them for promotional purposes. By booking a reservation with Croco Trail Travel, program members agree to allow their images to be used in such photographs. Program members who prefer that their images not be used are asked to identify themselves to their travel program escort at the beginning of their program.
We strongly recommend the purchase of trip cancellation insurance, which is available for coverage of expenses in conjunction with cancellation due to illness or accident. Baggage insurance is also recommended. In the event that you must cancel your participation in a travel program, trip cancellation insurance may be the only source of reimbursement.
We recommend travel protection. Between missed connections, lost or delayed luggage, or medical emergencies, you want some peace of mind that your vacation investment is well protected. Why Should A Traveler Buy Travel Protection?
- Travel protection gives travelers coverage for unforeseen circumstances, from a canceled flight to a serious illness—or in rare cases, even an act of terrorism or the financial default of a travel supplier. If an illness, accident, or other covered unforeseen circumstance forces a traveler to cancel or interrupt their plans, they face two major financial losses—money invested in prepaid, nonrefundable and unused payments or deposits, and medical expenses that in many instances may not be covered by health insurance.
What Happens If A Traveler Must Cancel Their Vacation?

- In addition to trip cancellation and interruption, today’s travel protection may also cover emergency medical expenses and emergency medical transportation, to the nearest adequate medical facility when ordered by a doctor. Reimbursement for additional accommodations, meals and local transportation expenses incurred due to travel delays. Reimbursement for the purchase of essential items if baggage is delayed; and coverage against lost, stolen or damaged baggage.
Does Travel Protection Cover Terrorism?
- Many travel protection plans do not cover terrorism or only cover terrorist acts that occur on foreign soil. Travel insurance through Travelex Insurance can cover terrorist incidents both in the United States and abroad.
How Much Does Travel Protection Cost?
- The cost of travel protection is based, in most cases, on the value of the trip, the length of the trip and the plan purchased.
LIMITS ON RESPONSIBILITY
The payment of a deposit represents acceptance by the tour member(s) of this Release of Liability, Assumption of All Risks and Binding Arbitration Agreement.
Croco Trail Travel, its employees, shareholders, subsidiaries, affiliates, officers, directors and successors, (collectively Croco Trail Travel) does not own or operate any entity that provides, or is to provide, goods or services for your trip including, for example, lodging facilities, yacht and other transportation companies, food service providers, equipment suppliers, local ground handlers, naturalist and certain guides, etc. As a result, Croco Trail Travel is not liable for any negligent or willful act or failure to act of any such person, or of any other third party.
Croco Trail Travel is not liable for any direct, indirect, consequential, or incidental damage, injury, death, loss, accident, delay, inconvenience or irregularity of any kind that may be occasioned by reason of any act or omission beyond its control, including without limitation any willful or negligent act, failure to act, breach of contract or violation of local law or regulation of any third party such as an airline, train, hotel, bus, taxi, van, yacht or vessel, local ground handler or guide, whether or not it uses the Croco Trail Travel name, financial default or insolvency of any supplier that is, to, or does supply any goods or services for this trip. Croco Trail Travel is not responsible for any loss, injury, death or inconvenience due to delay or change in schedule, overbooking of accommodation, default of any third party, attacks by or bites from wild or domestic animals, pests or insects, epidemics or the threat thereof, sickness, the lack of appropriate medical care and/or evacuation to same, if necessary, weather, strikes, acts of God or government, lost or misplaced luggage, acts of terrorism or the threat thereof, force majeure, war, quarantine, criminal activity, or any other cause beyond its control.
I am voluntarily participating in this trip (or any trip to which I may subsequently transfer) with the knowledge of the numerous risks and dangers involved including but not limited to negligence on the part of Croco Trail Travel (for example, negligence in the conduct or arrangement of the trip in any respect from inception to completion, negligence with regard to selection of suppliers, locations and otherwise). I acknowledge that the enjoyment and excitement of adventure travel, such as this trip, is derived in part from the inherent risks incurred by travel and activity beyond the accepted safety of life at home or work and that these inherent risks contribute to such enjoyment and excitement, and are a reason for my participation. I agree to be responsible for my own welfare and accept any and all risks of delay, unanticipated events, inconvenience, illness, injury, emotional trauma or death.
Croco Trail Travel reserves the right to refuse as a trip participant, or remove, at his or her own expense and without any refund, from a trip, any person it judges to be incapable of meeting the rigors and requirements of participating in the activities, or who it determines detracts from the enjoyment of the trip by others. I agree to follow all written and verbal rules of safety or otherwise presented to me by Croco Trail Travel, the trip leaders, or the local ground handler. Croco Trail Travel reserves the right to make route, hotel, itinerary, leader changes and trip modifications as required or desirable to improve the trip quality and/or to accommodate the comfort and well-being of guests.
Risks: There are certain inherent risks in adventure travel of the type involved here. These include, but are not limited to, hiking, walking safaris, climbing injuries and altitude sickness, and in all trips dangers of animals, inaccessibility to medical attention and difficulty in evacuation from remote locations in the case of a medical emergency. Passenger assumes all such risks with regard to these possibilities.
Travel Advisories/Warnings: It is the responsibility of The Traveler to become informed about the most current travel advisories and warnings by referring to the U. S. State Department’s travel website at www.travel.state.gov/ or by phone at 1-888-407- 4747. In the event of an active State Department Travel Warning against travel to the specific destination location(s) of the trip, should The Traveler still choose to travel, notwithstanding any travel advisory or warning, The Traveler assumes all risk of personal injury, death or property damage that may arise out of the events like those advised or warned against.
Arbitration Agreement: Any controversy or claim arising out of or relating in any way to these Terms and Conditions, to the Responsibility Clause, to the brochure, or any information relating in any way to the trip, or to the trip itself, shall be settled solely and exclusively by binding arbitration in Cusco, Peru, in accordance with the rules of the Arbitration Association then existent.
Travelers Representations: The Traveler represents that neither he nor she nor anyone traveling with him or her has any physical or other condition or disability that could create a hazard to himself or herself or other members of the tour. Croco Trail Travel reserves the right to decline to accept anyone on a trip. Croco Trail Travel reserves the right to remove from the trip, at his or her sole expense, anyone whose condition is such that he or she could create a hazard to himself or others, or otherwise impact the enjoyment of other passengers on the trip.
TRIP MEMBER’S RESPONSIBILITY
Trip members have the responsibility to select a trip appropriate to their abilities and interests. In order to assist you, we grade each trip with a Physical Rating. We are also happy to discuss the trip with you, as well as provide you with names of past participants who can discuss their experience with you. Trip members must be in sufficient good health to undertake the trip. Trip members are responsible for preparing for the trip by studying the itinerary and pre-departure information sent by Croco Trail Travel and for bringing the appropriate clothing and equipment as advised therein.
Croco Trail Travel shall not be liable for (a) expenses such as additional hotel nights and meals not specified in the individual trip itineraries, but which may be required to get to or from a trip start or end; (b) expenses due to the delay of a trip for any reason (e.g., bad weather, trail conditions, land slides, flooding, sickness, etc.); (c) expenses incurred in recovering luggage lost by airlines, belongings left behind on a trip, or in shipping purchases or other goods home from abroad.
Croco Trail Travel reserves the right to take photographic or film records of any of our trips and may use any such records for promotional and/or commercial purposes without payment.
Croco Trail Travel will not accept any responsibility for mistakes or errors in airfare bookings made by independent third parties. The traveler’s confirmed web page will have detailed tour information, and it is up to the traveler to ensure the correct arrival and departure flight information from the tour start and end cities. The independent agent will arrange the best-priced airfare available in the class category you request at the time of your booking. Please note that certain airfares are subject to a service fee. Should you cancel or change your air reservation before or after your departure, cancellation penalties may apply.
Airlines concerned are not to be held responsible for any act, omission or event during the time passengers are not on board their planes or conveyances. These programs may use the services of any IATA carrier. International air carriers are subject to international air conventions limiting their liability. The limitations of liability are contained on the reverse side of the airline ticket and form part of the terms and conditions of this package. The passage contract in use by these companies, when issued, shall constitute the sole contract between the companies and the purchaser of these travel programs and/or passage.
Prices include two pieces of baggage per person. Weight restrictions may apply on internal flights and train service. Baggage and personal effects are at owner’s risk throughout the travel program. Check with the airline, and train operator in Cusco, Peru (Peru Rail, Inka Rail) for other baggage restrictions applicable, and restrictions applicable to international flights.
Accommodations are based on double occupancy. A single supplement is paid by participants who specifically request single accommodations, subject to availability. If you are traveling alone and wish to share accommodations, we will try to match you with a roommate. However, if a roommate is not available, the forced single supplement will be charged, which is 50% of the regular single supplement unless otherwise noted in the detailed itinerary.
EQUIPMENT RENTAL & DAMAGE FEES
The renter is responsible for safeguarding and properly caring for the equipment rented and can be charged up to the full replacement cost for any item that is damaged, lost, or stolen. The renter is obligated to return all equipment no later than the stated due date. Partial returns will not be accepted. The severity of damages and associated fees will be determined by Inca Trail Reservation staff on all equipment. Damages may include lost, bent or broken poles.
Damage Fees: For any rented equipment may reach up to $200.00
At all times your contract will be with Crocotrail Travel. The name Crocotrail Trave to either Croco Trail Trave SRL. And Licensed Travel Company and Tour Operator.
Peruvian Law requires Legal sellers of travel. This business has a Registration as a seller of travel does constitute approval by the Peru Tourism Ministry.
